Scheduling Meetings
Advanced meeting scheduling techniques with Calendar0's AI assistant
Basic Meeting Creation
Simple Meeting
"Meeting with john@company.com tomorrow at 2pm"
The AI will:
- Check for conflicts
- Create the event
- Add John as an attendee
- Send a calendar invitation
With Duration
"30-minute meeting with sarah@company.com on Friday at 10am"
With Multiple Attendees
"Team meeting Tuesday at 3pm with alice@company.com, bob@company.com, and charlie@company.com"
Meeting Details
Adding a Title
"Schedule 'Q1 Planning Review' with team@company.com next Monday at 2pm"
Adding Location
"Meeting with client tomorrow at 10am at our downtown office"
Virtual Meetings
"Video call with john@company.com Thursday at 3pm"
Calendar0 automatically creates video conference links when scheduling meetings with attendees:
- Google Calendar - Adds Google Meet link automatically
- Microsoft Outlook - Adds Microsoft Teams link automatically
Just mention "video call", "meeting", or "call" and Calendar0 will handle the rest.
Adding Description
"Create meeting 'Product Demo' tomorrow at 2pm. Description: Show new features to stakeholders. Attendees: john@company.com, sarah@company.com"
Recurring Meetings
Weekly Meetings
"Team standup every Monday at 9am"
Bi-weekly Meetings
"1-on-1 with manager every other Friday at 2pm"
Monthly Meetings
"Board meeting first Thursday of each month at 10am"
Custom Recurrence
"Sales review every Tuesday and Thursday at 11am"
Finding Meeting Times
Check Availability First
You: "When is everyone free next week?"
AI: [Shows available slots]
You: "Schedule team meeting on Tuesday at 2pm"
Ask for Suggestions
"Find a 1-hour slot this week for a meeting with john@company.com"
Specific Time Preferences
"When is john@company.com free on Thursday afternoon?"
Advanced Scheduling
Scheduling with Constraints
Avoid certain times:
"Schedule meeting with team next week, not on Monday or before 10am"
Buffer time:
"Schedule call with client, but I need 30 minutes before my 3pm meeting"
Back-to-back prevention:
"Find me a 1-hour slot with at least 15 minutes buffer before and after"
Meeting Preparation
Time Before Meeting
"Show me my next meeting and give me 15 minutes prep time"
Note: Notification reminders for upcoming meetings are configured in Settings → Notifications, not through the AI assistant.
Meeting Series
Creating a Series
"Create monthly team sync, first Friday of each month at 10am, starting next month"
Modifying a Series
"Cancel all Monday standup meetings in December"
"Move weekly team meeting from Tuesday to Wednesday"
Best Practices
1. Default Calendar
Set your default calendar in Settings so meetings go to the right place:
- Work meetings → Work calendar
- Personal meetings → Personal calendar
2. Meeting Length Standards
Be consistent with durations:
- Standups: 15 minutes
- 1-on-1s: 30 minutes
- Team meetings: 60 minutes
3. Buffer Time
Block time for focus work:
"Block 4pm-5pm today for focus time"
Tip: For recurring time preferences (like "no meetings after 4pm"), set your working hours in Settings → Preferences instead of asking the AI each time.
4. Meeting-Free Days
Block entire days for focused work:
"Block all day Friday for deep work"
Note: This creates a one-time focus time block. For recurring preferences, configure working hours in Settings.
5. Always Include End Times
Either specify duration or end time:
Good:
"Meeting 2pm-3pm"
"Meeting at 2pm for 1 hour"
Avoid:
"Meeting at 2pm"
Common Scenarios
Quick Coffee Chat
"Coffee chat with alex@company.com tomorrow morning for 30 minutes"
Client Demo
"Product demo with client@company.com next Tuesday at 10am for 1 hour. Location: Conference Room A"
Team Brainstorm
"Brainstorming session with product@company.com Thursday afternoon for 2 hours"
Interview
"Candidate interview Friday at 2pm for 1 hour with hiring@company.com"
Quarterly Review
"Q1 review meeting with exec@company.com on March 31st at 9am for 2 hours"
Troubleshooting
Meeting Not Created
- Check your default calendar is set
- Verify you're connected to the internet
- Check for any error messages in the AI response
Attendees Not Invited
Double-check email addresses:
"Did you send invites to john@company.com?"
Time Conflicts
The AI will warn you, but you can:
"Schedule anyway at 2pm"
Or:
"Find alternative time without conflicts"
